Exhibiting at HandyCon

Showcase your games in a friendly, relaxed environment.

We have options to playtest your designs, to demonstrate and sell your games or to set up a stand purely for trade.

At our last event in January 2020 we had over 1600 footfall (over 700 unique) across the duration of the convention.

We may also be able to provide additional space and support for you to run events or tournaments, subject to availability and requirements.

We have a number of different options to suit your needs:

Playtest Tables

Playtest tables are reserved for games still in development. They can be a great way to get your prototype in front of attendees and receive feedback on your designs. They cannot be used for exhibiting published or finished designs and selling is not allowed.

Cost

Playtesting tables are available in morning and afternoon slots for each day, priced at £10 a slot. You are welcome to book multiple slots, but are limited to one table per slot.

Playtest tables are available at the times they are booked for, with 30 mins of set up and tear down time either side.

AM: 9am – 2pm

PM: 3pm – 8pm

Additional Information

Playtest tables are reserved for games still in development and cannot be used for exhibiting published or finished designs. You are welcome to book multiple slots, but are limited to one table per slot.

Note that if you book an AM and PM slot on the same day, you will be assigned one table from 9am – 8pm (meaning you will have the same table for each slot and can use the 2pm – 3pm set up / tear down time as you wish).

We reserve the right to cancel any orders that do not adhere to these guidelines.

Booking Instructions

You must purchase an entry pass for each person working your table on the day(s) it is booked for.

You can book playtest tables directly from our shop using the button below. Once you have booked a slot, you must fill out a Playtest Table Details Form about the game(s) you will be playtesting. Please note that failure to submit this form may result in the cancellation of your booking.

Note that we may ask for additional information about the games you are playtesting to ensure they a good fit for the event.

Exhibitor Tables

We offer a limited number of exhibitor tables, available per day or for the whole con. These are great if you want to demo your games to attendees and sell them too, but don’t require a full stand. You are able to book multiple tables.

Cost

£65 per day or £175 for all 3 days.

1 x Entry pass for the day(s) the Exhibitor Table is booked. Note that each person working at your table requires an entry pass. You can purchase 1 additional entry pass for each day you have booked a table at half the price of regular admission. Any further additional entry passes are available for the full price of admission.

Space for 1 floor-standing roller banner (not supplied, max base width 100cm).

Space for any additional furniture or displays.

Guaranteed access to power, although this may be available.

Opening & Set-up Times

Exhibitor tables are accessible at the following times, for each day they are booked for:

Set up: 8am – 9am

Operating hours: 9am – 8pm *

Tear down: 8pm – 10pm

Exhibitors booked on the Friday are also welcome to set up on the Thursday evening from 7pm – 10pm.

Please note that the gaming halls are not locked at night (including Thursday night) and are open to the public and/or hotel staff for the duration of the convention. Any items left unattended overnight or at any time during the convention are done so entirely at your own risk.

Additional Information

Note that these tables are for the exhibiting and selling of games, not purely for trade (please see the Exhibitor / Trade Stand section if you only want to sell games or other related items).

* Exhibitors must have their tables set up and ready by 9am each day. However, exhibitors are welcome to staff and run their table during operating hours at their own discretion.

Booking Instructions

  • Initial enquiries should be made via the booking form below. If you have any questions you can get in touch via email before you submit the form.
  • We will then contact you to confirm the space you requested is available and to issue an invoice for the total cost along with the full terms and conditions (please read these carefully as payment of the invoice constitutes your acceptance of our terms and conditions). Note that we may ask for additional information about the games or items you are looking to exhibit and/or sell to ensure they a good fit for the event.
  • The full amount must then be paid within 14 days to secure your booking. If an invoice is issued within 14 days of the commencement of the event, you must pay the full value of the invoice as soon as possible and at least 48 hours prior to the commencement of the event. We can accept payment via: (i) bank transfer or (ii) PayPal for payments of up to £100. Full payment details will be included on the invoice.
  • Details on cancellation can be found in Section 5 of the full terms and conditions.

Exhibitor / Trade Stands

Exhibitor / Trade Stands are located in the lobby near the HandyCon front desk, which is our highest foot traffic area. Bringing additional furniture is allowed, meaning you can customise your stand space to your requirements. You are able to book multiple stands to put together should you require more space.

Library Donations

The HandyCon Library currently has over 300 games, which attendees can use for free for the duration of the convention. You can find a (somewhat) up to date list of all games in the library here.
